THIRD AND FOURTH YEAR CLINICAL ROTATIONS
In order to assure the timely evaluation of medical student performance on clinical rotations and submission of the evaluation forms to the Division of Clinical Education, the following policy is in effect:
A) Grade Evaluation Process
1. All third and fourth year students will hand deliver their "Evaluation Form" to their clinical preceptors, including their faculty preceptor and their resident(s) and indicate the evaluation process. Students are responsible for picking up their evaluations from the following locations (unless instructed otherwise):
a. Third year evaluations will be available in the clinical sites' Clerkship Offices.
b. Fourth year evaluations will be available in the Course Directors' offices.
2. At the mid-point of the clerkship/course the faculty preceptor will give verbal feedback to the student. Students are encouraged to request feedback from all faculty and residents.
3. At the end of the Clerkship rotation or 4 week course/elective block (or other length of block), students will meet with their faculty preceptor and appropriate residents for verbal feedback and written completion of their evaluation forms.
4. Evaluation forms may be returned by students to the clinical site's appropriate Clerkship Office in an envelope sealed and signed by the faculty/resident or the faculty/resident may return it themselves to the appropriate Clerkship Office.
5. Evaluation forms must be returned by faculty/residents to the Clerkship Director or Required Course Director (Medicine Sub-I & Neurology) or Administrator no later than 14 days from completion of clerkship/elective course. Electronic communication (facsimile, e-mail) is encouraged.
6. All fourth year elective forms should be returned directly to the Division of Clinical Education, Room 119, 2900 Queen Lane, Philadelphia, PA 19129-1096.
B) Clerkship Directors, Pathway Directors, and Course Directors will tabulate and record student evaluation data and must return the composite Evaluation Form to the Division of Clinical Education Office within 28 days from completion of the Clerkship/Course.
C) Pathway Directors are responsible for timeliness of student evaluations for all courses within their discipline at all MCPHU sites.
D) Away Courses will be handled by the staff in the Division of Clinical Education Office who will notify preceptors for "Away Courses" with instructions for "Evaluation Forms" completion and timely return to that office.
E) An orientation process for student evaluations is ongoing and should occur for:
1. Medical students at third and fourth year Class Meetings and at each new Clerkship and Pathway orientation session
2. Residents at orientations which will be conducted by the GME Office and by individual Program Directors at regular intervals, e.g., quarterly
3. Teaching Faculty through their Department Chairs, Clerkship Directors, and Pathway Directors at regular intervals, e.g., quarterly
F) All Clerkship Directors, Pathway Directors, Affiliate Site Directors and respective administrators should regularly review their responsibility toward the schedule of timely completion of student Evaluation Forms.
