Medical Student Procedures

Students arriving at LVHHN for the first time must contact the Division of Education, via email, to Sherri_S.White at least three weeks prior to the start of the rotation and provide the following information:

Name

School / Year

*Social Security Number

*Date of Birth

Preferred E-Mail Address

Cell/Home Phone Number

Housing Required:    Y / N

*SSN and DOB are required for ID badge and computer access processing.  This process takes 3-5 business days; therefore, it is extremely important that this information is provided to us at least three weeks prior to a rotation.

Students will receive an email notification with their arrival, housing and orientation information on Thursday prior to the start of a rotation.

All medical students reporting to LVHHN for a clerkship or elective rotation must provide one form of picture identification to Security upon arrival.  Students will then receive their LVHHN ID badge, providing the student has contacted LVHHN with their personal information well in advance.

In addition, all students are required to bring a photo copy of their immunization records and medical insurance ID card with them to orientation on the first day of their rotation. The current immunization requirements are attached.  Students who do not adhere to the above procedures may forfeit their current rotation assignment.  As always, thank you for your cooperation in these matters.

Parking

We strongly recommend that you have a car available for all clinical rotations. Cars are required for all outpatient and family practice rotations.

At the Cedar Crest Site you must park in lots numbered 11 and 12, which requires ID badge card access. Your ID badge will be given to you by Security.

At the 17th Street Site you must park in lot number 1 EXCEPT during fair month (August 18 - September 18). During fair month, ask Security where to park. Do not park on the streets specifically marked for local residents.

Housing

Your room is available the Sunday before your rotation begins. Rooms are available at both the Cedar Crest and 17th Street sites. Room assignments are dependent on your rotation. You do not have to call the Center for Educational Development & Support to reserve a room. All rooms are double rooms, with two triples at the Cedar Crest site.

General Services will clean your room prior to your arrival only. If you have any concerns regarding your room, please contact Amy Burrows in CEDS at (484) 884-2237. You are responsible for the daily/weekly upkeeping of your room during your stay at LVH. That includes changing linens, removing trash, etc. Supplies are available for your use. Each dormitory area has a kitchen with a refrigerator, microwave and stove (17th & Chew site only). If you use these areas, please clean up. If you find it necessary to bring food to the dormitory area, please clean up after you are finished. Return dirty dishes and trays to the Cafeteria. We recommend that you use disposable dishes and utensils whenever possible. Each dormitory area also has a washer and dryer. You will find a washer and dryer in the same location as the kitchen area at the Cedar Crest site.

Trash/Recycling
Trash and recycling cans are available for proper disposal of items.

Telephones
There is a telephone in each room which can be used to make local or collect calls. Dial 99 to get the outside dial tone. Long distance calls cannot be made from your room, unless they are collect, or by using a calling card.

If you do not need a room, please notify the Center for Educational Development & Support, (484) 884-2237, at least two weeks before the start of the rotation. Housing at LVH is tight and your cooperation in allowing as many students as possible to attend each rotation is appreciated.

Initial Orientation Session

All orientations are held the Monday morning your block begins. This orientation session is mandatory, even if you have been to the Lehigh Valley Hospital in the past. If you are required to attend an orientation at your medical school, please contact Amy Burrows (484) 884-2237 prior to the start of the rotation.

Report to the Learning Resource Center located in the library, at the Cedar Crest & I-78 site promptly at 7:30 a.m. At this time there will be a check-in, orientation and instruction in the hospital computerized medical record system ("PHAMIS").

If MCPHU has certified that you have been adequately trained in routine hospital knowledge including back safety, chemical safety, MSDS information sheets, fire safety, universal precautions and safety for infectious diseases, you will not require further instruction. You will receive specific training for areas of the hospital such as the operating rooms when your individual department gives you an orientation. Also, if you feel uncomfortable in your knowledge of any of the topics listed above, inform the Director of Education, and we will provide you with video tape instruction.

Identification Badge

Your LVH-issued ID badge should be displayed at all times.

At the time of your check-in, Security will issue an ID badge. Your ID badge must be worn at all times while you are on hospital property. Your ID badge is coded with a magnetic strip. The magnetic strip gives access to parking lots #11 & #12 at the Cedar Crest site, access to the housing facilities at the 17th & Chew Street site between the hours of 6 p.m. and 6 a.m., and the library at both sites. The ID badge is necessary for you to use your meal tickets at the cafeteria.

At the end of your rotation, you must return your ID badge to Security. Should you return for another rotation, the ID badge will be reissued to you.

Emergency and Non-Emergency Health Care and Insurance

You have certified to your medical school that you have adequate health care insurance. Should you require care at LVH, you will be required to provide us with the name of your insurance carrier, and we will bill them. Remember that some HMOs and other managed care providers have limited care payment outside their service area. You will be responsible for your medical bills should your carrier be unwilling to pay. Emergency care is provided to all medical students by the Employee Health Service during most regular working hours; call extension 8869 to confirm that you can be seen. Otherwise, go to the Emergency Room at either site.

Should you be injured while participating in the activities of your rotation [e.g. needle stick], you must fill out an Incident Report, and report to Employee Health or the Emergency Room. Should you be exposed to an infectious disease, you will receive initial care and counseling from Employee Health. The incident will be reported to Student Health Services at AUHS, which will be responsible for your long-term follow-up and counseling.
